EFFECTIVE MEETINGS – HOW TO PERFECT THE ART OF MANAGING A MEETING

Have you ever heard the phrase: "A meeting is an event at which the minutes are kept and the hours are lost?" It`s time to negate it by following these simple guidelines:

 

o   Ask yourself: is a meeting really necessary for this?

o   Set the agenda beforehand: that way everybody can prepare themselves 

o   Think long and hard about who truly needs to be in attendance and invite as few people as possible

o   The meeting has to have a clear purpose: maximum three topics are on the agenda 

o   Start the meeting on time and end it on time

o   Stick to your schedule and keep the meeting focused (there is no digressing from the topic)

o   Ban technology: in order to achieve maximum level of participation everyone needs to be focused and present

o   Follow up on the meeting: meetings are successful only when they attain their objective, so it`s important to know what your next step is and follow up on it.

 

If you follow those guidelines, the meetings will accomplish much more than just their desired purpose, they will enable collaboration, creativity and innovation. They will foster relationships and ensure proper information exchange. People will feel heard and appreciated and become even more productive in the workplace.
